Modesto Junior College accepts electronically submitted transcripts from other institutions. Institutions may submit their official transcripts electronically to MJCESeForms@yosemite.edu or by using one of the following companies: National Student Clearinghouse, Parchment, Certree or Credentials.

MJC can only guarantee receipt of electronic transcripts sent through one of the company's previously mentioned. Students are responsible to check with the requesting school to confirm that they use one of these electronic transcript sources.

Modesto Junior College does not offer express or overnight delivery services. ALL transcripts that are mailed, are First-Class mail through the United States Postal Service and is only sent out on Tuesdays and Thursdays.

Official GED Copies

MJC cannot provide verification of completion of the GED or copies of the GED. Information on ordering GED copies and GED verifications can be found on the GED Testing Service website or call 1-877-392-6433 for assistance.

Enrollment Verifications

To submit an Enrollment Verification via your student email please email MJCESeForms@mjc.edu.

Enrollment Verifications are used to verify enrollment status, GPA, and units for external agencies. Your first two verifications are free.

Your enrollment verification will be based on the number of units you are enrolled in when Enrollment Services processes this request. Adding and/or dropping classes between the time of this request and the actual processing date may affect the number of units reported on this verification.

Verification requests that are not picked up within 60 days will be discarded.

Please note: Students with outstanding financial obligations will not be provided copies of verifications until the hold is cleared by the Business Services Office.

Letter of Non-Attendance

If you need a letter verifying you have not enrolled in any MJC classes and no official transcript can be generated, you will need to request a Letter of Non-Attendance. Please do the following:

Submit the Enrollment Verification Form to Enrollment Services. In the "Other" area, indicate "letter of non-attendance".
The form may be submitted via email with a copy of photo ID

Student Petitions

Students are given an opportunity to request action that is permitted by California state law, YCCD policy or college practices and procedures. A student may file a petition with MJC requesting consideration for certain academic issues. Issues that relate to missed deadlines such as: refund, drop, pass/no pass and graduation requirements cannot be petitioned.

General Student Petition

Submit this form to request an exception to withdraw from a class after the 75% point of a class. The student may submit a petition under these circumstances:

Never attended the course
Military Orders
Illness, hospitalization, or medical reasons
Employment/Relocation
Illness or death of a family member
Incarceration

Course Repeat Petition

Submit this form to retake a course in excess of the allowable limit or to retake a course that you have already passed. Students must demonstrate necessity and submit supporting documentation.

Student Grade Correction Petition

Submit this form to request a formal grade change under one of the following circumstances:

You believe there was a mistake in determining your final grade.
You believe the final grade given reflects fraud, bad faith, or incompetence.

Grade Correction petitions are submitted directly to the Division for Instructor and Dean Signatures - petition will be forwarded to Enrollment Services for processing.

Important Information:

Petition decisions take 30-45 days. They are reviewed monthly by the Petitions Committee.
All decisions will be sent to your MJC student email account.
If your petition is denied, you must appeal within 30 days of the date you received your denial email. Appeals are reviewed by the Dean of Student Services. Appeal forms are available in your denial email that was sent to your MJC student email.

Priority Registration

Students who have completed the Core Steps (orientation, math & English placement, and developed an education plan) and maintained good academic standing will be granted higher priority for registration.

The Enrollment Services office notifies students of their registration dates and times by student email. Registration dates and times can also be found on Self Service.

Level 1: Military/Veterans, Foster Youth (and former foster youth), and students in the following programs: Extended Opportunity Program and Services (EOP&S), Accomodations & Support Services (ASC) (formerly known as Disabled Student Programs and Services/DSPS), CalWorks and Homeless Youth (Housing and Homelessness), Student Parents, Rising Scholars

Level 2: College Designated Programs: Athletes, TRIO, UMOJA, International Students and TAG students

Level 3: Continuing, Returning, & New Students who completed all three Core Steps by deadline.

Level 4: Continuing, Returning, & New Students who did not complete all three Core Steps by deadline

Open Registration: All students who do not meet the criteria for levels 1-4, who completed requirements after the college established deadline or have applied after registration dates and times have been issued.

Loss of Priority Registration

New & continuing students may lose registration priority if they: 1) earn more than 100 degree applicable units at MJC, or 2) are on academic probation for 2 or more terms. If a student loses priority registration they may appeal to have priority registration reinstated.

Complete the Appeal for Loss of Priority Registration and submit it to Enrollment Services.
Provide a written statement as to why registration priority should be reinstated.
Provide documentation as to the extenuating circumstance or significant academic improvement.
Submitted appeals will be reviewed and a decision will be send to MJC student email.

Foster youth and former foster youth who are 24 years or less are exempt from losing registration priority based on 100 units or more or for failing to meet minimum academic standards.

Family Educational Rights and Privacy Act (FERPA)

Educational Institutions are required to annually notify enrolled students of their rights under the Federal Family Educational Rights and Privacy Act of 1974 (FERPA), as amended. This website fulfills this obligation and serves as the annual FERPA notification to students at Modesto Junior College.

What is FERPA (Family Educational Rights and Privacy Act)?

The Family Educational Rights and Privacy Act (FERPA) affords eligible students certain rights with respect to their education records. An “eligible student” under FERPA is a student who enters a postsecondary institution at any age. Student education records are those records that contain personally identifiable information (PII).

What are education records?

Education records, according to FERPA, are defined as student records maintained by an education agency or institution or by a party acting for the agency or institution. Examples of student records include academic transcripts, financial aid awards and student judicial files.

Educational records DO NOT include:

Instructor notes or other personal memory aids;
Medical records that are used only in connection with treatment of students;
Employment records when employment is not contingent on being a student;
Records created and maintained by campus police and used only for law enforcement purposes;
Post-attendance records that do not relate to the person as a student.

What is directory or public information?

FERPA allows institutions to identify certain types of information called "directory information" that may be disclosed without student consent at the College's discretion. Modesto Junior College has designated the following information as directory information and will release this information upon request:

Student participation in officially recognized activities and sport including weight, height and high school of graduation of athletic team members
Degrees and awards received by students, including honors, scholarship awards, athletic awards and Dean's/President's List recognition
Start/end date of enrollment
Part time/Full time enrollment (Current and past semesters)
Major (Academic program)
Units/credits completed (Current and past semesters)
Awards received, including type of degree or certificate awarded/date awarded

According to FERPA, a student can request that the institution not release any directory information about him/her. Modesto Junior College students initially give or withhold consent via the admissions application. Students may change their decision by filing a Notice to Deny Disclosure form with the Enrollment Services Office. Request for non-disclosure will be honored by the college until removed by the student.

Who has access to non-directory information?

With several exceptions provided by FERPA, Modesto Junior College cannot release personally identifiable non-directory information in an education record without prior written consent from the student unless it is to state, local, and federal government authorities who need the information in performance of their duties.

Some examples of non-directory information include:

Birth date
Citizenship
Ethnicity
Gender
Grade point average (GPA)
Marital status
SSN/student I.D.

The student's prior written consent is not required to disclose non-directory information under the following circumstances:

Access by parents of a student who is under 18 years of age as defined in Section 152 of the Internal Revenue Code of 1986. Parents must present evidence to the Admissions office that they claim the student as a dependent.
Access by school officials who the institution had determined to have a legitimate educational interest or access by school officials at other schools where the student seeks to enroll.
Access for the purpose of awarding financial aid. Personally identifiable information may be required to determine eligibility for aid, the amount of the aid, the conditions for the aid, or to enforce the terms or conditions of the aid.
Access for the purpose of responding to a subpoena or an ex parte order.

Student Right to Inspect and Review Records

FERPA grants students the right to inspect and review their education records within 45 days after the day a request for access is submitted. A student should submit a written request to the Director of Admissions and Records that identifies the record(s) the student wishes to inspect. The Director of Admissions and Records will make arrangements for access and notify the student of the time and place where the records may be inspected. If the education records are not maintained by the Admissions and Records Office, the Director shall advise the student of the correct official to whom the request should be addressed.

Student Right to File a Complaint with the Department of Education

Modesto Junior College students have the right to file a complaint with the U.S. Department of Education concerning alleged failures by the District to comply with the requirements of FERPA.

Students may choose to allow another person to discuss or receive selected information by submitting the Release of Student Information form.

Military Recruitment and the Solomon Amendment

The Solomon Amendment is a federal law that allows military recruiters to access some address, biographical and academic program information on students age 17 and older.

The Department of Education has determined the Solomon Amendment supersedes most elements of FERPA. The District is therefore obligated to release data included in the list of “student recruiting information,” which may or may not match the Districts FERPA directory definition list.

The following is a list of information that may be released to military recruiters pursuant to the Solomon Amendment:

Name, address, telephone, year of birth, level of education, academic major, degrees received, educational institution in which the student was most recently enrolled.

The request must be submitted in writing on letterhead clearly identifying:

The unit of service requesting the student recruitment information
Cite the relevant legal authority under the Solomon Amendment and include the scope of the request
Request should specify whether the information needed is for the current or previous semester

The military recruiters may request student recruitment information once each term.
